Reclaiming Your Creative Process with Systems and Workflow

Reclaiming Your Creative Process with Systems and Workflow

My Favorite Biz Books from 2020

For creative professionals, running a business is a careful balance between the art and the structure. In other words, right-brained creatives have to switch gears to keep up with the organizational responsibilities that keep their business going so they can continue to do what they do best: create.

However, when these two realms aren’t in balance, it’s easy to burn out and lose steam on both sides of the business. You may end up losing the passion for your trade that drove you to start your company in the first place. Perhaps you’re thinking that owning a business isn’t all that it was cracked up to be.

Yet, this mindset isn’t an indictment on creative entrepreneurship — it’s simply a sign that you need to make some adjustments to your business so it can better support your productivity and your drive to create. To avoid fizzling out, creatives need to create a reliable internal system that will streamline operational tasks, freeing up time and mental space for what matters most: the craft.

After all, none of us decided to start a business one day because we wanted to spend our hours tracking expenses and responding to emails. Are these necessary tasks? Absolutely. But that does not mean you need to spend more time working on your business than you do working in your business.

If you’re ready to dive back into the world of inspiration, the solution lies in the systems and workflows that form the foundation of your business. Here’s what you need to know to embrace efficiency and reclaim your creative process.

START WHERE YOU ARE.

Before you can improve your operational structure, you need first to assess where you currently stand. Jot down all of your business’s recurring processes, from your sales workflow to your client intake procedure to your offboarding technique. For each one, identify the steps you take from start to completion and take note of the areas that consume the most time in your schedule. Also, consider the tasks that are necessary but fill you with dread.

These are the areas prime for optimization and simplification. The goal of building systems and workflows into your business is to standardize operations and rely on what is proven to work instead of recreating the wheel each and every time. Only then will you find more freedom and abundance in your schedule to focus on your creative process.

EXPERIMENT WITH NEW SOLUTIONS.

The only way to grow is to try new things. When you have a good idea of your business’s efficiency gaps, you can begin exploring alternative solutions that will save you time and energy. Today, there are countless digital tools for every facet of business administration — from social media schedulers to time-tracking apps to accounting software; you can streamline virtually any part of your company’s backend.

Spend some time researching applicable programs that can help you to bridge the gaps in your workflows and streamline your usual tasks. Perhaps you just need to build in some canned responses for email inquiries. Maybe you need a more comprehensive solution, like a CRM database that manages contracts, invoices, timelines, and other client account information. When it comes to new technology, you really can’t know what works without trying it. Take advantage of free trials and demos before signing on for the long haul.

If you’re in a place to hire, consider outsourcing the most time-consuming tasks to someone more adept. For example, an accountant will make short work to track your expenses and keep your books updated regularly because it’s what they do best. Likewise, a social media specialist or copywriter might be an excellent addition to your team if you’re always struggling to keep up with fresh content. This doesn’t necessarily mean you need to hire a new employee; in fact, outsourcing to a contractor can be a cost-effective way to check off those boxes without investing too much capital.

MAINTAIN NEW SYSTEMS AND ADJUST AS NEEDED.

Once you’ve implemented some new systems and processes that seem to work, give them a few months to iron out the details. For example, if you’re using a new CRM platform, wait until you’ve put in all of your templates and have used it for a while before doing a full evaluation. Often, new programs come with a learning curve and you want to be sure you’ve given your due diligence before making a final decision.

If you do decide to switch things up, revisit your initial research to see if there were other ideas that might be a fit. Consult with colleagues and industry peers to gather feedback and inspiration. Speaking to professionals who have faced similar issues can lend a wealth of clarity to the situation and you might discover some ideas that hadn’t occurred to you prior.

Once you find the right formula for your business—and you will!—it’s a matter of maintaining the system’s integrity. Just as you take your car in for routine oil changes, your business processes also need to be tuned up at regular intervals. The market is always changing and, if your company isn’t keeping up, it will ultimately result in disrepair — just like a vehicle that is left forgotten in the garage for too long.

At the very least, check in with your systems and procedures before the busy season to see if it needs to be updated. Rely on your recent experiences from the year to determine what has and has not worked for you thus far. However, this process is made much easier if you’re always keeping an eye on your progress and making minor adjustments when necessary. If you notice a gap during your day-to-day workflow, it’s worth addressing it sooner rather than waiting for your annual evaluation to roll around.

Building more efficient systems and processes into your business is a matter of understanding; you must have a deep grasp of your current operations, personal strengths and weaknesses, and the areas in which your business can improve. Once you begin adjusting your approach to better serve your business and your clients, you’ll find that your schedule—and your brain—will have more space to revel in the creative process and discover new directions for growth.

Jen Taylor Consulting, is a firm that helps small businesses experience more freedom and abundance through systems, strategy, and workflow.

I know you want to be able to enjoy all the reasons you started your business in the first place, instead of putting out fire after fire. In order to do that, you need systems and growth strategies that turn your business from a creaky rust-bucket into a well-oiled machine. The problem is there are a lot of “unsexy” tasks that need to get done. And since you’re not sure how to best automate or outsource, you’re left grinding away day after day.

The stress and frustration are almost enough to get you to throw in the towel, give up on your dream, and start working on your resumé.

I believe it doesn’t have to be so complicated. I understand how you feel and know it may not be “fun” for you to establish business procedures that fully support your success and growth. But lucky for you, that’s what I love to do!

The Health Benefits of Intermittent Fasting

Intermittent Fasting (I.F.) is receiving a lot of attention in the news and social media these days. What has long been a traditional practice in many religions and cultures is now gaining recognition for its potential health benefits, including heart health. This article by Dr. David Jockers, a well-known natural medicine doctor, caught our attention. It outlines some of the benefits of intermittent fasting. Given how much attention I.F. is receiving, we thought we’d take a closer look.

NOTEBefore you begin any new health or fitness program, including intermittent fasting, you should discuss it with your physician. What works for one person might not be advisable for another!

What Is Intermittent Fasting?

Fasting is the practice of not eating any food for a certain number of hours in the 24-hour cycle of a day. As Dr. Jockers states in his article, fasting has been practiced for thousands of years for religious and spiritual reasons. In recent years, it has received more attention for the role it might play in healthy weight loss, as discussed in this article from Harvard Medical School researchers.

I.F. can allow the insulin levels to go down far enough and for long enough that the body can begin to burn off fat.

Recent research seems to indicate that when you fast makes a difference. You need to limit the hours of when you eat. Researchers have found that for fasting be most effective, you should eat earlier in the day, ideally between 7 am to 3 pm, or even 10 am to 6 pm. It would be best if you did not eat in the evening before bedtime. You may consume non-caloric drinks such as tea or water.

Heart Benefits of I.F.:

In his article, Dr. Jockers states that I.F. can improve heart health in several substantive ways;

  1. Decreases Inflammation and Oxidative Stress
  2. Improves Mitochondrial Health
  3. Enhances Insulin Sensitivity
  4. Improves Cholesterol & Triglycerides
  5. Burns Excess Body Fat
  6. Repairs Dysfunctional Cells
  7. Improves Blood Pressure
  8. Strengthens Blood Vessels

How to start Intermittent Fasting:

If you’re ready to try I.F., we suggest you start slowly with shorter periods of fasting and work your way up gradually. Below we summarize Dr. Jocker’s recommendations. We recommend you review these to understand the process and then visit his article for more comprehensive guidance.

Again, remember to discuss I.F. with your personal physician to determine if it’s right for your body and health needs. Women, especially, need to talk to their physicians before they undertake more advanced I.F. practices.

Simple Fast: Fasting for 12 hours with a 12-hour eating window. The 12-hour fast includes your overnight sleep, it’s easier to follow. It starts from the time you finish dinner until breakfast the next morning. You can increase your fasting to 14-hours if, after one to two weeks, you find your body tolerates it well.

Cycle Fast: This is a more advanced form of fasting with a 16-hour fasting window and done just three times a week. Pick your three days of the week that will be most convenient for your lifestyle. If you finish dinner at 6 pm, you will not eat again until 10 am the next day.

Strong Fast: This increases your fasting to a 16-18-hour daily fasting window. It’s an advanced form of fasting and is not for everyone. If you finish dinner at 6 pm, you won’t eat again until noon the next day.

A few tips of Dr. Jockers’ tips for I.F.:

  • Stay well hydrated.
  • Add a pinch of salt to replace electrolytes.
  • Eat enough to meet your calorie and nutrient requirements.
  • Make sure to get plenty of good quality sleep.
  • Exercise regularly.
  • Reduce your stress levels.
  • I.F. is a lifestyle choice.

I Felt Devastated

Once upon a time, I was very, very, very, very, very, very, very, very tired. I felt devastated.

On Mount Saint Helens

Our family took a trip to Mount St. Helens. The devastation of the 1980 eruption was still visible. The ash-filled dirt still showed signs of devastation. I kept saying to my loved ones, “Look at the devastation.” I felt understood.

Then I noticed little purple wildflowers growing in the forsaken dirt. I instantly knew I would be okay. The flowers called to me that day to remind me healing will come.

In My Kitchen

In my kitchen, to the left of the window over the sink, I have a small plaque with a picture of a purple wildflower which says, “If God is for us who can ever be against us.” (Romans 8:31)

Divine Regifting

Divine Regifting

Musical

You’ll often hear me talk about “walking the WOLK,” walking God’s words of loving kindness. When we walk the WOLK, we get to share God’s love, joy, peace, and hope. When we walk the WOLK, we’re part of a divine regifting strategy. Yes, divine regifting.

Throughout life I’ve been blessed with God’s love, joy, peace, and hope, and today I’m celebrating the gifts of love, joy, peace, and hope that have been regifted to me. This celebration could include name after name after name, but I’m going to name four. In the midst of unexpected challenges this past year, God has blessed me with very special relationships, some newer, some older, women who exemplify God’s loving kindness in very special ways. Let me introduce you to a friend, a colleague, a friend and colleague, and a neighbor.

I start with Kathy Collard Miller. Eighteen months ago I did an internet search for Christian writing retreats. I needed some quiet time, time for reflection, time to write. The top result was a retreat hosted by the Network of Evangelical Women in Ministry (NEWIM). I signed up, not knowing who these people were. I got on a plane, not knowing where I was going. I checked in, not knowing what to expect. But there I would find myself at a beautiful retreat center with beautiful women for a beautiful time of quiet and reflection and writing. And there I met Kathy, a co-leader for the writing portion of my getaway. Into my life, into that conference room, stepped a delightful lady.

Kathy Collard Miller is a prolific writer (over 55 books, friends!). She’s a passionate advocate for Jesus, first and foremost. She’s also a passionate advocate for storytelling.

We all have a story to tell and Kathy’s the first to encourage us to tell our story. Kathy shared the gift of hope with me. At a time in my own writing life when I wasn’t sure I was “feelin’ it,” Kathy helped me find my voice.

Divine Regifting

And then there’s our dear Karen Rae. My opportunities here at Fave Lifestyles were not expected, never imagined. Our Friday “Morning WOLKs with God” started with her question to me, “Have you thought about…?” I’ve watched this dear lady walk through difficult circumstances with grace and dignity, finding ways to stand tall, to find her voice. In turn she’s found ways to help us all stand tall, to find our own voice. I’ll be the first to admit that there hasn’t been a photo that I’ve ever posted to social media that hasn’t been cropped, the color corrected. Really?, you’re thinking. Yes, really! Karen has taken us through times of great joy and disappointment without cropping the photo. Karen inspires and motivates, encourages and empowers, sharing with me a peace that often surpasses understanding.

I’ve also had the joy of meeting Barb. I don’t know Barb’s last name. We met while I was walking back from the post office. I’ve watched Barb walk every day for months. I’ve tried to catch her attention with a wave, but she’s an older lady who’s a little stooped and careful to watch the pavement in front of her. We walked only a couple blocks together. I explained that I was the woman in the window who waved at her. “You wave at me?” I showed her the window to my office, promising to watch for her. We maybe had seven minutes together, but her smile has remained with me. The twinkle in her eye captured my heart. I waved goodbye thanking God for our moment of joy.

I end with my dear friend, Claudia, who actually gave me this WOLK necklace you see each week. Claudia is a friend from PLU who shares handcrafted gifts at our annual weekend together with college roommates. On my desk is a fused glass coaster of flowers bursting into bloom. She made it. On my counter is a ceramic box. The lid has dots of glaze. The handle is a triangle topped with a ball of clay.  She made it. The necklace she made goes perfectly with a favorite sweater. The ceramic pin goes perfectly on the lapel of a jacket. A bowl of boiled wool holds them both. All are small gifts of love that were part of small celebrations.

Yes, small moments with all four ladies. It’s easy to discount our impact on others. “Oh, it wasn’t that big of a deal…” We think we’re just doing what we do. But ladies, that’s what God needs us to: to “just do what we do.” God put us in relationship with Him and each other. We may never know the impact we have on those around us. Kathy was just sharing what she knows about writing. Karen was just asking a question. Barb was just out for a walk. Claudia was just sharing her creativity. Each woman shared love, joy, peace, and hope. It really was divine regifting at its finest!

You’re doing the same. You’re sharing love, joy, peace, and hope in the lives of those around you. Yes, you’re just doing what you do. And you’re having meaningful impact on those people and places that mean the most to all of us. What a blessing to us all!

Romans 15:13, a favorite verse: “May the God of hope fill you with all joy and peace as you trust in Him, so that you may overflow with hope by the power of the Holy Spirit.” Amen!

What does your regifting strategy look like? Oh, the possibilities! Oh, the places you’ll go!

Before my father died, he reminded me that Mom had asked me to write a book. At the time the boys were in college, and the notion of writing was unfathomable. Writers write books. By the time my boys were adults, I’d run out of excuses. I was also at that age when I could pause and reflect.

Fruit of My Spirit: Reframing Life in God’s Grace was my first publishing endeavor. My second was Signs in Life: Finding Direction in Our Travels with God. Both are collections of stories that tell of God’s love and faithfulness. Both tell of His remarkable grace and mercy.

When not writing, I serve as the Client Service Coordinator for The Planner’s Edge, an investment advisory firm in Washington state. I’m active in my church, serving on the Leadership Team and gathering with a wonderful group of ladies to study and giggle over lattes and chocolate. On my desk is a rock with the words “Choose Joy!” etched in it. It’s my inspiration for each day. As an author, it is my hope that my own words might share that joy we find together as children of God.

With Him, it can be so.

5 EASY STEPS TO AMPLIFY YOUR MESSAGE ON SOCIAL MEDIA

How A Pinterest User Turns Into A Client?

How A Pinterest User Turns Into A Client?

My Favorite Biz Books from 2020

The main reason that business owners do not use Pinterest in their marketing strategy is that they do not see how a Pinterest user turns into a paying client. Today I want to share an overview of how a Pinterest scroller ends up on your client roster.

Pinterest is a discovery platform. While other platforms focus on connecting users and encouraging engagement, Pinterest is driven by discovering new ideas, trends and inspiration. In fact, 85% of weekly US Pinners have made a purchase based on pins from a brand.

The other major way that Pinterest is different than other social media platforms is that your pins can deliver traffic for you for months after they are pinned. If a pin is relevant to a search, Pinterest can deliver it up for months! What an ROI on your marketing time and money! Compare this to Facebook where you will receive 50% of your engagement in 90 minutes, and Twitter where the half life is 24 minutes. Pinterest delivers traffic for as long as your pin is relevant to searches, it can be a powerful tool in any marketing strategy.

How A Pinterest User Turns Into A Client?

So, what is the process to turn a Pinterest user into a client? Here is a simple customer journey map.

As you can see, the process is pretty simple. The thing I see most often is that business owners do not have the complete Pinterest funnel in place. They are not being strategic about the content they are adding to the Pinterest platform OR they have no plan to capture the traffic they are getting from Pinterest. An effective strategy plans out the user journey from discovery to booking. How do you create an effective funnel? Check out the image below for an example.

Pinterest allows potential clients to discover and learn about you over time. It takes time to build up traffic, but when done correctly the Pinterest platform can deliver traffic to you for months and years to come!
